How we handle your data
FEN collects as little personal data as possible, only uses it to run the network, and never sells it. This page explains what we collect, why, and what you can ask us to do with it.
Who is responsible
The Foresight Europe Network (FEN) is an informal network without its own legal entity. The FEN President, Lena Tünkers, acts as the data controller on behalf of the network, supported by the FEN leadership team. Only the leadership team has access to the data described on this page. For anything about your data, write to info@foresighteurope.eu.
What we collect and why
When you visit this website
Our website host, Netlify, automatically records technical data when your browser requests a page: your IP address, the date and time, the page requested, the referring page, and your browser and operating system. This is needed to deliver the website and to keep it secure. We don’t use this data to identify you.
The home, members and events pages load the current member directory and FEN Exchange dates from our membership service, which runs on Google (see below). Your browser therefore connects to Google’s servers, and Google receives your IP address and the technical data your browser sends with any request. No cookies are set or read in the process.
Legal basis: our legitimate interest in running a secure, working website (Art. 6(1)(f) GDPR).
When you apply to become a member
Your name, email address, city and country of residence, the organisations you are affiliated with, why you want to join, your LinkedIn profile and website (if you give them), your competences, whether you want to be listed on the members page, how we can communicate with you, and the date of your consent. We use this to review your application, welcome you to the network, list you on the members page if you chose that, and add you to the communication channels you picked.
Legal basis: your consent (Art. 6(1)(a) GDPR), which you give in the membership form and can withdraw at any time.
When you send a request to engage with the network
Your name, email address, organisation and the details of your request. We use them to review your request and, with your consent, share it with FEN members (including your name, organisation and email address) so that interested members can contact you. Legal basis: your consent (Art. 6(1)(a) GDPR).
When you write to us
Your name, email address and message, so we can answer you. Legal basis: our legitimate interest in replying to messages (Art. 6(1)(f) GDPR).
All three forms on this website (membership, engage and contact) send what you enter directly from your browser to our membership service on Google. Your entries are stored in our Google Sheet, and you and the leadership team receive the related emails from info@foresighteurope.eu.
When you join a FEN Exchange
You register directly with Zoom, which processes your registration details under its own privacy policy. We see the names and email addresses of people who register, and use them only to run the session. Exchanges follow Chatham House Rules, with a few exceptions: we transcribe the sessions to write session briefs, and the briefs don’t attribute what was said to individual participants.
What is public
Only if you opted in: your name, affiliation, city, country of residence, competences, and links to your LinkedIn profile and website appear on the members page. Your email address and your reasons for joining are never published.
Who else processes your data
We use the following service providers. Where they process data on our behalf, we have a data processing agreement with them (Art. 28 GDPR).
- Netlify (Netlify, Inc., 101 2nd Street, San Francisco, CA 94105, USA): hosts this website and processes the server logs described above.
- Google (Google Ireland Ltd., Gordon House, Barrow Street, Dublin 4, Ireland): our email (info@foresighteurope.eu), the Google Sheet with membership records, applications and requests, the membership service that receives the website forms (Google Apps Script), and the peer-to-peer email list (Google Groups) run on Google Workspace.
- Zoom (Zoom Communications, Inc., USA): registration for and hosting of the FEN Exchange. Your data only goes to Zoom when you follow the registration link.
- WhatsApp (WhatsApp Ireland Ltd.): only if you join the FEN WhatsApp community. Other members can see your phone number and name.
Netlify, Google and Zoom may also process data in the United States. These companies are certified under the EU-U.S. Data Privacy Framework, for which the European Commission has adopted an adequacy decision (Art. 45 GDPR). In addition, they use the EU Standard Contractual Clauses (Art. 46 GDPR).
Links to LinkedIn profiles, members’ websites and other external sites only send data to those sites when you click them. Their own privacy policies apply there.
How long we keep it
We keep your member data for as long as you are a member. If you leave the network or withdraw your consent, we delete your profile and your data within one month. We delete rejected applications and messages to us once they have been dealt with, and at the latest after 12 months. Netlify deletes server logs after a short period; we have no access to them beyond that.
We make no automated decisions about you. Every application and request is reviewed by a person on the leadership team.
Your rights
You can ask us at any time to see the data we hold about you, correct it, delete it, restrict or object to its use, or send it to you in a portable format. You can withdraw your consent at any time; this doesn’t affect anything we did before. Write to info@foresighteurope.eu and we will reply within one month. You also have the right to complain to the data protection authority in your country.
Cookies
This website sets no cookies and uses no analytics or tracking. Fonts are served from this website itself, not from an external font service. The only third party your browser contacts while you browse is Google, to load the member directory and Exchange dates as described above.
